How to Schedule a Meeting with Multiple People – Without the Back-and-Forth

Finding time with one person can be simple. Finding time with four, six or ten people is a different problem.

Every additional calendar adds another constraint. Every delayed reply increases the chance that a previously available slot disappears. The real challenge is not sending the invitation; it is reaching a reliable decision before everyone’s calendars change again.

Separate required from optional participants

Required participants must be available for a time to qualify. Optional participants receive the invitation but do not eliminate otherwise suitable slots. This small distinction prevents larger meetings from becoming impossible because one non-essential attendee is unavailable.

Move from availability to an actual meeting
